What is business voicemail?

Voicemail

Voicemail is a phone system feature that plays a greeting and records a message from the caller when a call is not answered, then makes the recording available to the person or team it was meant for.

How voicemail works

When nobody answers, or the office is closed, the caller hears a greeting and leaves a message after the tone. The recording is stored and the team is notified, often by email with the audio attached. Businesses use personal voicemail for individual users and shared team voicemail for departments, so a message is not lost when one person is away.

Tips for business voicemail

  • Say who the caller has reached and when they can expect a call back.
  • Send messages to a shared inbox for teams, not to one person.
  • Offer an alternative, such as a website or a different number, for urgent issues.

Voicemail in phone.systems™

In phone.systems™ voicemail is the Voicemail object in a call flow. You choose a greeting from your audio files, a maximum message length of 1 to 60 minutes, and a delivery method — email, or file storage such as Dropbox, Google Drive, OneDrive, FTP or SFTP. It is typically connected to the timeout exit of a queue or ring group, or to the closed branch of a Time Router.

Users can also send their own unanswered app calls to voicemail with the When Unavailable: Route To Voicemail setting, and voicemail messages appear as attachments in the phone.systems™ app. See handling after-hours calls.
